Detailed Instructions - Undergraduate Grants

Please review instructions before completing the application, and refer to them when necessary

2014 Deadlines
Spring : Mid October (application will open end of August)
Fall/Academic Year: Mid March (application will open early January).
For Fall/Academic Year 2014-15, the online application is open with a March 17th, 2014 deadline.

A Complete Application Includes:

  • Application Form
  • Essay (two pages maximum)*
  • Reference *
  • Cost of Study Abroad Program – completed by Study Abroad Advisor
  • Amount of Financial Aid received towards program – completed by Study Abroad Advisor*
  • Advisor verification**
  • One set of Official or Unofficial Transcripts from all Post-Secondary Degree Granting Institutions*
  • Letter of acceptance from Study Abroad program if awarded the scholarship (submit hard copy to IIE) at the below address:

Once selected grantees will be asked to submit an official transcript and an acceptance letter from study abroad progam or host institution.  These documents can be mailed to:

* - Indicates an application material that is uploaded
** - Applicants must send an email to their study abroad advisor (automatically generated) to complete this section of the application.  This email should only be sent once the student has included their program details on the applicaiton.

  • Do not use all lower case (vivienne lee) or upper case (VIVIENNE LEE) in completing any section of the application. Use the traditional format (Vivienne Lee).
  • Do not use “NA” in any field. If you have no middle initial, leave it blank.
  • Do not use parentheses, slash marks or dashes in telephone numbers. Instead use spaces to separate numbers, e.g. (212 555 4444).
  • Do not staple or tape pages/pieces to the application.
  • Review your draft application to check for completion and to verify that it reads correctly.

Completing the Application
The application must be completed using the online form.

Mailing Address: Your mailing address MUST be valid until end of your grant. If you need to change your address before or after this date please send an email to

(GPA) Grade Point Average: Please indicate the cumulative GPA for each degree received. ALL GPA's must be listed here on a 4-point scale.

Honors/Awards/Fellowships/Extra-Curricular Activities: Using the space provided (do not attach additional sheets), please list any honors, awards, fellowships and/or extra-curricular activities that you have received or participated in.


One essay is required. The essay should describe how the project proposal fits into the current study/research and future career plans of the applicant as they relate to BME.  Do not exceed the page limit noted. Text should be formatted for single spaced using standard 11-12 point font, and 1-inch margins, and submitted through the online application.
Include your name at the top of the page.

One reference is required. It is recommended that the reference be from an academic or professional in biomedical engineering or a closely related field. If an applicant has attended more than one academic institution, reference may be included from prior institutions.

The reference cover letter must be submitted online through the application form.

Study Abroad Adviser
Applicants should only notify their study abroad advisors about verifying their program once they have completed the program information (i.e. name of study abroad program, specifics of internship) on the application.  Please contact the Whitaker staff if you have any questions on this.

An official or unofficial transcript from each of an applicant’s degree awarding institution(s) must be submitted, including the current institution.

Submitting the Application

  • All applications should be submitted electronically. You cannot complete the electronic application until you have designated references.
  • No mailed, faxed or emailed applications will be accepted.

Applicants will be notified of the competition results within 6 weeks of the application deadline.

If you must withdraw your application at any point in the competition, please notify IIE immediately.
